The Meeting That Writes Itself
An ag sales rep's day looks nothing like an office job. Meetings happen in truck cabs, at the edge of a field, standing next to a grain bin. The rep has one hand free at best. Taking notes isn't the move. Remembering everything and transcribing it later is how information gets lost.
The old workflow was double-handling by design. Meeting ends. Rep drives to the next stop or back to the office. Calls in what they remember. Someone types it. By the time it lands in the CRM, three hours have passed and two details are gone.
We built a different path into the Freedom Ag portal.
What the Portal Does With a Field Recording
The rep records the meeting, or drops in a voice memo after. The portal transcribes it and sends the transcript to the AI assistant with a structured extraction task: pull the customer name, the products discussed, any commitments made, the follow-up action, and the opportunity stage based on what was said.
The assistant reads the transcript and fills out the CRM record. The rep opens the portal, reviews the draft, makes any corrections, and saves.
That's the workflow. The double-handling is gone. The record is created from the actual conversation, not from what the rep remembers an hour later.
Why Transcription Alone Isn't Enough
Speech-to-text is cheap and available everywhere. That's not the hard part.
The hard part is going from "here's everything that was said" to "here's the structured record your CRM needs." A 20-minute field meeting produces a lot of words, most of them not relevant to the record. The AI extracts what matters, formats it into the fields the system requires, and makes a judgment call about where the opportunity sits in the pipeline.
That last part matters. "He said he'd think about it and call me next week" is a different pipeline stage than "She said she wants to order three pallets once the co-op deal closes." The assistant reads the intent, not just the words, and places the record accordingly. The rep corrects it if it's wrong. More often it's right.
What Complete Records Actually Do
The time savings are real but not the main benefit.
When every field meeting produces a complete record, you end up with a dataset that didn't exist before. Which customers are actually close to closing? Which products are coming up repeatedly in conversations but haven't converted to orders? Where is a rep spending time without progress?
None of these questions can be answered from partial notes. They can be answered from complete CRM records. The portal creates those records consistently because the process doesn't depend on the rep remembering to write things down at the end of a long day.
The Pattern Across the Portal
The spray card generator, the meeting transcription workflow, the field quoting tool: they all follow the same structure. The rep handles the judgment, the relationship, the field decision. The portal handles the documentation, the formatting, the compliance record.
The Freedom Ag system isn't a set of features. It's an operating layer that sits under the rep's actual work and handles everything that would otherwise fall through the cracks at the end of a busy day. That's the build we were going for, and the CRM record workflow is the clearest example of it working.
